How To Categorize Important E-Mails In Entourage: Learn how to keep track of all your different conversations and projects through Entourage's "Categories" feature, making it easy to categorize your important e-mails in Entourage.

Step 1:

Open Categories

Once you've opened Entourage, move the cursor to the top of the screen. Toward the left, you'll see the word "Edit" Click on that. When the menu drops down, move the cursor over "Categories". Then move your cursor to "Edit Categories." Click.

Delete Useless Categories

The default categories you'll see in the box that appears are:
• Family
• Friends
• Holiday
• Junk
• Personal
• Recreation
• Travel
• Work
Some of these may apply to you, some may not. Now's a time to delete those you won't use. It'll ask you if you're sure. Don't worry; all the e-mail in the categories you delete will still be there. They'll just be put in your mailbox.

Add Useful Categories

Click on the upper-left corner on the "Add Category" button. Each time you hit it, a new category will be added, labeled "Untitled", "Untitled 2" and so on. Re-label each category. You can label them according to the names of your clients, different departments of your company... anything that will help you sort through it all.

Go to your inbox. You can now categorize each e-mail. Right click on an e-mail. In the menu that appears, move your cursor over "Categories". From there, click on the category that you feel best suits the particular e-mail you've received.

Tools and Rules

To have Entourage automatically categorize future e-mails you receive, you need to create rules. Move the cursor to the top of the screen. In the middle, you'll see the word "Tools" Click on that. When the menu drops down, click on "Rules". A box will open up.

Choose Your E-mail Account

On the box, you'll see a row of options, Mail (POP), Mail (IMAP) and so on. Select the one you use; in this case, we'll use Mail (POP). Then move your cursor up a bit and click on "New".

Choose Your "If"

Beneath the name of your new rule, you will see "If". Under the If category, click on the bar that says "All messages". Click on "From". The next box will say "Contains". Leave that as it is. Next to this is a window. Type in whatever e-mail address or person you'd like to have automatically categorized in the future.

Choose Your "Then"

The next part you'll change is the "Then" box below. Click where it says "Change status." When the menu pops up, click on "Set Category". To the right, a bar that says "None" will appear. Click on that, and select the category you think fits the e-mail best.
Do this for all the people who e-mail you regularly.
