How To Create A Project In Entourage

If you have a new project and you're using Entourage for your e-mail, you can use the same program to keep the e-mails, notes, documents and schedule associated with that project into one place. VideoJug will show you how best to create a project in Entourage.

Step 1:

New Project

On the menu bar, next to the word Entourage, click on "File". Move your cursor over "New". Select "Project".

Step 2:

Name, Date and Note

In the box on top, name your project.
Type in the due date, or use the calendar icon on the right to select it.
Designate a color so you'll know that everything you see in Entourage with this color is associated with your project.
Put in a picture that will remind you of which project it is.
Lastly, write a note to yourself about the project as a whole.

Project Watch

The next page shows you that Entourage will create a "project watch" folder, and tells you the place on your computer it's going to put that folder. The project watch folder is where you put all the documents you'll be using that are related to this project.
If you already have a folder where you want all these files to be, you can tell it to use that folder instead.
You can also allow Entourage to create a folder for your project, within Entourage itself.

Step 4:

Import

If you have categories set up for other e-mails, you can have all the e-mails from a specific category associated with your new project.
If you've set up other projects, you can import items from those projects as well.

Associate

On the third page, you've got a set of rules. The first option says "Associate e-mail from Project contacts". This means that, whenever you get an e-mail from a contact associated with your project, those e-mails will go right into your project.

Pre-filter

The next option allows you to tell Entourage to automatically send e-mails that have certain words in the subject lines directly to the project. You can tell several people who are writing you that they should use one of these words in the subject line of e-mails they send you.

No More Rules

The next option allows you to turn off other rules for e-mails that fit the description above. For instance, if you have an auto-reply set up, you can make sure people in your project don't get an auto-reply e-mail when they write you.
Next, Entourage allows you to apply all of the above to e-mails that have already come in.
Finally, you have the option of gaining access to this folder through a shortcut on your desktop.
Once you're finished, click the right arrow. You now have a new project.
