How To Find Important Incoming E-Mails In Entourage: Sometimes important e-mails get lost in the shuffle. Here's how to make them stand out and find the important incoming emails in entourage quickly and efficiently.

Step 1:

Tools and Rules

Once you've opened Entourage, move the cursor to the top of the screen. In the middle, you'll see the word "Tools". Click on that. When the menu drops down, click on "Rules". A box will open up.

Pick Your Mail Server

On the box, you'll see a row of options, Mail (POP), Mail (IMAP) and so on. Select the one you use; in this case, we'll use Mail (POP). Then move your cursor up a bit and click on "New".

New Rule

A "Rule" will help us make the person stand out. Name it something like Big Important Client Rules.

Choose Your "If"

Beneath the name of your new rule, you will see "If". Under the "if" area click on the bar that says "All messages". Select "From". The next box will say "Contains". Leave that as it is. Next to this will appear a box. Write your big important client's name in.

Choose Your "Then"

The next part you'll change is the "Then" box below. Click where it says "Change status." When the menu pops up, click on "Move message". To the left, "Inbox (On My Computer)" will appear. Click on that, then click "Choose folder…" from the menu.

Make a Special Folder

When the new window titled "Choose Folder" appears, move the cursor down to the left corner and click "New Folder". Now, this is the folder where Big Important Client's e-mail will show up, so when this new window arrives, name it something that will stand out to you. On the list of all your current folders, double click on where you want your new folder to go. Make it somewhere easy to find. Click Choose. Now e-mails from that person will go directly into the folder you made.

Change Notification Settings

Now, maybe you're expecting an important e-mail from this person. If so, you'll see there's an option for another "Action". Click on "Set Category" and change it to "Animate Icon".
If you want the Entourage icon to bounce up and down when you receive an e-mail from him/her, click on "Add Action" under "Then" and add another task. You can choose to have Entourage play a sound, display a message or make a "Display notification", which is basically a pop-up.

Change Priority Settings

You can set Entourage to automatically make all the e-mails from him/her set to highest priority. Click on the bar on the right and select "Change Priority".
When the bar to the right appears as "Normal", click on it and choose "Highest".
Click OK.
